Privacy Policy

INESC – Instituto de Engenharia de Sistemas e Computadores (INESC) is a private non-profit association, recognised as a public utility, which acts as the holding company of a group of R&TD institutions in which it holds a stake, dedicated to education, scientific research, technological development and innovation, and consultancy in their respective fields of activity.

INESC is committed to protecting the privacy and personal data of data subjects, in full compliance with the data protection legislation in force, namely Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (“GDPR”).

Given the importance of transparency in the data processing operations concerning its Staff, Partners and other interested parties, INESC has drawn up a Personal Data Privacy Policy covering how personal information is collected, used, disclosed, transferred and stored, thereby setting out the general rules on data processing in strict compliance with the legislation in force.

Personal data and processing

“Personal data” – Information relating to an identified or identifiable natural person (“data subject”); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier, or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person (Article 4 of the GDPR).

In the course of its activity, INESC processes personal data arising from its relationship with the following groups of data subjects: staff (employees, grant holders, researchers, trainees and service providers); trainees and trainers; contacts at clients and suppliers; contacts and participants from partners in research projects; visitors to the institutional website; and other interested parties.

Personal data is collected and processed through the conclusion of contractual documents, with a view to complying with legal obligations arising from INESC’s activity, pursuing its legitimate interests, or on the basis of the free and express consent of the data subjects, wherever applicable.

Depending on the purpose, INESC processes the following categories of data: general identification data (name, telephone contact, email address, postal address, tax identification number, social security number, citizen card or identity card number and validity, IP address), banking identification data (bank identification number/IBAN) and professional background data (curricular data contained in the curricula vitae provided, e.g. in the context of recruitment or of applications to The Adamastor Award).

INESC also processes, as a training body or as a partner of public and private institutions, personal data of trainees and trainers in the course of training programmes.

Wherever feasible, personal data generated by scientific research and technological development activities is processed anonymously.

When you visit INESC’s institutional website, cookies are used, subject to your consent, to improve the website experience (pll_language, which stores your preference regarding the display language of the site) or for analytical purposes (strictly analytical Google Analytics cookies).

Personal data is processed through automated and manual procedures, with technological and organisational measures and controls that are appropriate and proportionate to its protection and preservation. These measures include the management of authentication and of access to systems and premises, the management of system user profiles, controlled access to restricted information in any medium, confidentiality and professional secrecy undertakings with staff and third parties, and the use of more robust techniques such as encryption, where necessary.

As a general rule, personal data is kept for as long as the relationship with INESC lasts, for the period necessary to comply with legal obligations or to pursue legitimate interests.

Personal data may be transferred, for the same purposes, to entities designated by the legislation in force or to third parties (e.g. the juries of The Adamastor Award).

Whenever personal data is shared with third parties outside the European Economic Area, with recipients not recognised as providing adequate safeguards, INESC undertakes to comply with the GDPR as applicable to the transfer in question. Requests for access to, obtaining and consulting personal data, as well as for its updating, amendment or delivery, will be answered, and erasure, restriction of and objection to processing, and the cessation of automated processing of personal data for profiling, may be requested, where such requests comply with the legislation in force.

Where consent has been given, it may be withdrawn at any time, using the contact details indicated below. Data subjects may lodge a complaint regarding the processing of their data with the National Supervisory Authority.
